How INDUS (India Users of SAP) respects, protects and manages your personal and professional information across our digital services, community programmes, and events.

01Who we are

INDUS is operated by [FULL REGISTERED LEGAL ENTITY NAME], with its registered address at [REGISTERED ADDRESS] (“INDUS”, “we”, “us” or “our”). We are responsible for the personal information we collect and use for the activities described in this policy.

This policy covers induscommunity.com and INDUS’s use of information for membership enquiries, community administration, webinars, communications and events, including the INDUS Annual Conference. Our online community is hosted at induscommunity.mn.co on Mighty Networks.

02Information we collect and why

The information we collect depends on how you interact with INDUS. We identify required fields when you complete a form. Optional fields can be left blank.

  • Membership and enquiries: your name, work email, telephone number where requested, organisation, job title, location and message, to answer enquiries, assess applications and administer your participation.
  • Events and programmes: registration details, selected sessions, attendance, questions and feedback, to organise activities, provide access, send practical updates and improve future sessions.
  • Community contributions: profile details, posts, comments, speaker biographies and photographs that you submit, to support discussions or publish contributions you have agreed to share.
  • Communications: your contact details, chosen topics, subscription preferences and consent records, to send the updates you request and record your choices.
  • Website use: IP address, browser and device information, access times, requested pages and error or security logs, to deliver and protect the website. Optional analytics and tracking are explained in our Cookie Policy.

If a paid activity is offered, we may collect billing details, an organisation’s GST details where relevant, and payment status or transaction references. Any payment provider’s handling of payment credentials will be explained at checkout. Please do not send card details or passwords through enquiry forms.

If you request an accessibility or dietary accommodation, we will explain what information is needed, who needs it and why. Please share only what is necessary. Where sensitive information is involved, we will obtain the consent required by applicable law.

03How we receive information

We receive information directly from you through forms, correspondence, registrations and participation. An employer or event organiser may provide your details to arrange participation on your behalf. Where this happens, we will explain the purpose and provide this policy. Website information may also be collected automatically as described above.

04Your choices and our use of information

We use personal information for the purposes explained when it is collected and where permitted by applicable law. Where consent is required, we ask for a clear choice. Simply visiting our website or reading this policy does not mean you agree to optional marketing or tracking.

Optional information is your choice. Withdraw consent through Privacy Requests or email admin@induscommunity.com. Withdrawal is as easy as giving consent. We stop consent-based use and instruct relevant processors within a reasonable time, unless law permits or requires continued processing. We explain any effect on your requested service; earlier lawful use remains unaffected.

You can unsubscribe from promotional emails using the link in the email or contact us to change your preferences. Essential messages about an existing membership, registration or enquiry may still be sent. Consent to receive INDUS updates is separate from consent to receive marketing from SAP, sponsors or partners.

05Who we share information with

Authorised INDUS team members and organisers access information needed for their role. Providers supporting hosting, forms, email, community platforms, events, payments and technical support receive information needed for their service, subject to appropriate protection arrangements.

For activities jointly organised with SAP or another organisation, the registration notice will identify the co-organiser and explain the information shared and its purpose. A sponsorship or partnership does not automatically give an organisation access to our membership database or attendee contact list.

We will ask for a separate choice before sharing your contact details for a sponsor’s or partner’s own marketing. If you choose to have your badge scanned or submit information directly to a sponsor, review the notice shown at that point and the sponsor’s privacy policy.

We may disclose information where required by law or a valid legal request, or as otherwise lawfully necessary to respond to fraud, security incidents or legal claims.

06Public profiles and event recordings

Information you choose to post in a community space may be visible to other members or the public, depending on that space’s settings. Avoid sharing confidential information or another person’s details without permission.

Before a photographed or recorded event, we will explain what will be captured and how it will be used. This may include your name, image, voice, questions or chat. We obtain consent where required and explain options for participating without appearing in published material.

Contact admin@induscommunity.com with concerns or a request concerning a photograph or recording. We will review requests involving material we control and explain any limits, including copies independently shared by others.

07Services outside India

Providers may store or access information outside India. Transfers must meet applicable Indian requirements, including restrictions, permissions and protection standards for sensitive personal information. Contact admin@induscommunity.com for provider and processing-location details.

08How long we keep information

We retain information for the stated purpose and applicable legal requirements, then delete or anonymise it. Accounting, security, consent, complaint and legal records may require longer retention. We may keep a minimal suppression record to respect unsubscribe requests. Contact us for the retention period and reason relevant to your information.

09Security

We use reasonable organisational and technical safeguards, including access and sharing controls. No electronic system guarantees complete security. If an incident affects your information, we will respond and make notifications required by applicable law.

10Requests and complaints

Use Privacy Requests or email admin@induscommunity.com to ask for access, correction, completion, updating or deletion of your information, withdraw consent, or raise a concern. Include the email address used with INDUS and the request type. We may verify identity proportionately; do not send passwords, payment credentials or identity documents unless we explain a specific need.

We will explain the outcome and any lawful reason we cannot fulfil a request in full. Where relevant provisions of the Digital Personal Data Protection Act, 2023 are in force and apply, you may also exercise the statutory rights to information about processing and recipients, correction and erasure, grievance redressal and nomination of another individual to exercise your rights in the event of death or incapacity.

Please raise complaints with our Grievance Officer below. We will address grievances promptly and within one month of receipt. Where the applicable provisions provide a right to approach the Data Protection Board of India, you may do so after using our grievance process. Other remedies available under applicable law remain unaffected.

11Children

INDUS’s professional services are intended for adults aged 18 and above. Please contact us if a child has provided information. Any programme for under-18s requires a separate notice and applicable verifiable parental consent. We do not permit tracking, behavioural monitoring or targeted advertising directed at children where prohibited by law.

12Other websites and policy updates

Our community at https://induscommunity.mn.co/ is hosted on Mighty Networks. This policy describes INDUS’s use of community information. Mighty Networks also has its own privacy policy for its processing, linked from the community footer. Website cookie choices do not automatically apply to that separate platform.

External services, including SAP and registration providers, have their own notices. We update this policy and its date when practices change, and provide further notice or seek fresh consent where required.
